  • Legal Secretary (Litigation)

Essential Functions:

  • Uses word processing equipment to prepare memoranda, charts and forms from written documents, transcribed materials and dictaphone.
  • Performs various accounting tasks including input of time sheet accurately and on a daily basis.  Researches and follows-up on client billing matters.  Opens new cases as needed including conflict of interest procedures.  Files expense reports.  Prepares or obtains other financial summaries as requested.
  • Screens telephone calls taking accurate messages including telephone numbers, caller name and company/position and purpose of call.  Coordinates client/attorney/staff appointments, calendar, deadlines, and reminders as required and maintains a current rolodex with all pertinent information.
  • Organizes and maintains files or correspondence (including attorney’s chronological files), client related activities, research files and firm related activities on a current basis.  Follow-up on pending matters as needed.
  • Coordinates word processing, duplicating, messenger, and facsimile tasks inside and outside of the Firm.
  • Screens mail handling routine matters as specified by attorney and assists in prioritizing mail and requests.
  • Obtains supplies, publications, court files, and coordinates equipment repairs as needed.
  • Receives clients and visitors, serves refreshments as necessary.  Coordinates conference facilities calls as needed.
  • Regular attendance is required for the position.
  • Performs other related duties as assigned.
Experience/Requirements:  A minimum of 3-4 years as legal secretary in litigation.  Able to type a minimum of 60 wpm.  Experience with the Hawaii court system and rules preferred.  Experience with electronic court filing procedures and using electronic calendaring systems is required.  Must be experienced using MS Word.  Experience using Excel helpful but not required.  Must be well organized, detail oriented, have good written and verbal communication and interpersonal skills.  Must be able to prioritize, meet deadlines and maintain confidentiality.
